TERMS & CONDITIONS OF ENROLMENT

Attendance at a learning activity may be refused if evidence of enrolment and payment of fees cannot be produced. Challenger Institute reserves the right not to conduct assessments or provide results for students who are not enrolled and/or have not paid fees.

IMPORTANT CONDITIONS

  1. Students must arrange payment of all fees at enrolment.  Your full fees are made up of two components:
    (a) Tuition fees
    (b) Resource fees. 

    If you are eligible for a concession, you will get a discount on the tuition fees payable (note: you will still need to pay full resource fees). 

    In cases of financial hardship, students may pay by instalments under conditions specified by the Institute, but must pay a deposit. The Institute usually requires a deposit of a $100 but students can request a financial assessment on the basis of which other amounts may be agreed.  Only under exceptional circumstance of recognised severe financial hardship will charges be waived.
  2. Subject to the Refunds Policy a student is liable for all their fees even if they withdraw.
  3. Challenger Institute of Technology may refuse admission to students who have defaulted on the payment of charges and/or have outstanding debts.
  4. Students who enrol in assessable or examinable subjects and do not complete assessment requirements will receive a FAIL/HOLD or RE-ENROL result, unless they have formally withdrawn from the subject. Students may formally appeal an assessment result.
  5. Students who withdraw after 50% of the time allocation of any modules/units of competency has elapsed and have participated in all class activities and assessments will have the subject name and a RE-ENROL result included on their academic statement.
  6.  Students may not re-enrol in a subject which the student has passed, unless approval has been obtained from the Institute. Where approval has been given the cost of the subject will be charged at a higher hourly rate.
  7. Assessment results will not be given over the phone.  All results will be posted to your postal address, so please ensure that changes to your address details are made prior to completion. Results can also be accessed via the Student Portal.
  8. Students are responsible for payment of fees. Where an employer has signed an agreement with Challenger Institute of Technology to pay fees and charges on behalf of students, the Institute will invoice employers. If the fees remain unpaid, students remain liable for payment of all student fees.
     
  9. Students are advised that some courses would require them to undertake work placement within the industry.  Prior to such placements a student would need to meet certain industry conditions e.g. police clearance, first aid certificate, etc.  In such work placements, students are expected to act professionally and meet the normal behavioural standards of the industry (e.g. dress code, work hours, medical certificate if absent from work, etc) to satisfy the competency standards of work placement.
  10. Access to the student portal: Enrolled students may access their results online through the student portal from the Challenger Institute of Technology website. N.B: Access to the portal will be disabled for students with outstanding debts to the Institute.

REFUNDS POLICY

This policy does not apply to International Students.  International Students seeking a refund must contact the International Student Support Officer.

Full Refund Conditions:
Please note: In all cases, refunds are not automatically made. Students must request a refund by filling in the "REFUND & WITHDRAWALS" form – available from the Administration Office. A full refund will be granted if:

  • A course/qualification or unit is cancelled or re-scheduled to a time unsuitable to the student;
  • A student is not given a place due to maximum number of places being reached; or
  • A student accepts an offer of a place in a university. In this situation, students must provide a copy of the letter of offer with their refund application.
Partial Refund Conditions:

Students who withdraw for reasons other than those outlined above, and who lodge a withdrawal form prior to or within four weeks (20 working days) of commencing their unit or their program of study or before 25% of delivery has been concluded (whichever is sooner) will be eligible for a full refund of their course fee and 50% of the resource fee paid.

Pro-rata Refund Conditions:
Students withdraw for reasons of personal circumstances beyond their control. In all cases, relevant documentary evidence (for example, medical certificate) is required. For example:

  • Serious illness resulting in extended absence from classes; or
  • Injury or disability that prevents the student from completing their program of study

No Refund Conditions:
A withdrawal/application for refund is submitted that does not meet the previously listed requirements. (No refund applies to modules/units of competency not yet commenced if the application is lodged after the specified period – as they are part of a course/program of study).

Because of the ceiling of Tuition Fee charges, full time students who withdraw from a single module/unit of competency may not, in some instances be entitled to a refund.

Closing Date for Refunds based on Concessional Enrolments
Students who do not have concession cards at the time of enrolment must pay full fees. Students may claim a refund to adjust their fees to the concessional rate if they are able to obtain a concession card and present it at the Institute within the same fee period of their enrolmet (e.g. Semester).

The Institute will accept a temporary notice from the relevant organisation that an allocation of a concession card is pending.

Students who withdraw while on a Payment Plan (Instalment Plan)
A student on an instalment plan will only be entitled to a refund if the total owed by the student is less than the refund due.  In situations where a student owes more than the refund due, a new Fees Payment agreement will be issued and their outstanding debt amended.

Note: If students do not officially withdraw, within the limits as previously explained, they will still be liable for full payment of any outstanding fees.

* Note: full refund to that subject only applies if you have not met the ceiling tuition fee charges for your enrolment.


ENROLMENT AMENDMENTS

Students must formally amend any enrolment adjustments. Please notify Campus Administration immediately if any of the following occur:
  1. You change your name or address (documentary evidence must be provided for change of name)
  2. You wish to:
    a) Withdraw from your course/module/unit of competency
    b) Withdraw from any subject
    c) Transfer to another class time for any subject enrolment
    d) Transfer to another Institution
    e) Enrol in additional subjects
  • The Institute collects student information to complete the enrolment process and to maintain and improve the quality of the Vocational Education and Training System.
  • Enrolment details may be passed onto Government agencies, or representatives thereof, and remain confidential to those agencies. Students may also be contacted to participate in surveys, essential to monitoring the quality of service provision.
  • The WA Public Sector Management Act (1994) and the State Records Act (2000) provide protection against the misuse of student information.

TERMS & CONDITIONS FOR SHORT COURSES

Workplace Skills Development Short Courses (also known as Fee for Services courses)

  1. Enrolments are confirmed on receipt of full payment for the course.
  2. Enrolments will not be taken less than 7 days prior to course commencement.
  3. Cancellations made less than 7 days will incur a 10% or minimum of $30 cancellation fee.
  4. Refunds will not be issued for exemptions once a course has commenced.
  5. Course dates, times and fees are subject to change. Should a change occur, we will make every effort to advise participants, please be aware of this in relation to travel arrangements.
  6. In case of insufficient enrolments, students will be advised seven (7) days prior to course start date and a full refund will be issued by Challenger Institute of Technology.
  7. Course places are allocated in order of registration.
  8. Students are expected to attend all sessions and where necessary complete assessments in order to qualify for a Challenger Institute of Technology Certificate.
  9. Please note that accredited training or employment related training does not incur GST cost, however, should your course include catering / textbooks / printing / binding in total cost GST will apply to these components only.

 

Lifestyle & Leisure Short Courses (also known as Adult Community Courses)
Students are entitled to a full refund of fees and charges where:
  1. A course is cancelled or re-scheduled to a time or location unsuitable to the student.

  2. A student is not given a place due to the class being full.     
  3. A student withdraws prior to course commencement due to a serious illness, injury or disability that prevents the student from attending the course (Medical certificate is required).      
  4. After the start of classes a pro-rata refund of the tuition fee may be considered for serious medical reasons ONLY (Medical certificate is required)

Note: Students must withdraw in writing to a course by filling in a “Refunds & Withdrawals” form.  If students do not officially withdraw, students may still be liable for full payment of any outstanding fees.
